Overview

The Load List page is where you create and manage inventory distribution sessions. Each session represents a set of quantities allocated to routes or stations, tracked in a dynamic grid interface.

Session Manager

The Session Manager is your starting point for all load list operations.

Creating a New Session

  1. Click Session Manager in the toolbar
  2. (Optional) Enter a session name or leave blank for auto-generated name
  3. Click the Create button (+ icon)
  4. Choose the session type:
    • Routes: For deliveries to customer routes
    • Stations: For internal station-to-station transfers
The system creates a new session and opens it in the grid.
Session names are auto-generated with date/time if left blank. Consider using descriptive names like “Monday AM Routes” or “Big Box Restock” for easier identification.

Loading an Existing Session

  1. Click Session Manager in the toolbar
  2. View the list of saved sessions
  3. Each session card shows:
    • Session name and dates
    • Status (Draft, Submitted, Completed)
    • Total quantities allocated
    • Number of items
  4. Click Load to open the session
Only the two most recent sessions for your station are loaded. To view older sessions, contact your administrator.

The Load List Grid

Grid Structure

The load list grid displays items in rows with the following columns: Fixed Columns (always visible):
  • Item No.: Item identifier (UPC)
  • Genus: Item genus classification
  • Container Code: Container type code
  • Item Description: Item name and details
  • Grade: Item grade level (hidden by default)
  • Availability: Current inventory in ERP
  • Containers on Shipment: Quantity already in transit
  • Allocated: Total quantity allocated across all routes/stations
  • Remaining Availability: Availability - Allocated - Containers on Shipment
Dynamic Columns (vary by session):
  • Route/Station Columns: One column per route or station (e.g., “Route 001”, “Station A”)
  • Column headers can be renamed for clarity

Pinned Total Rows

At the bottom of the grid, two pinned rows provide summaries:
  1. TOTALS (green row):
    • Shows sum of all quantities for each column
    • Updates in real-time as you enter quantities
  2. Total Carts (light green row):
    • Shows cart count based on container configurations
    • Helps plan physical cart requirements

Saving a Layout

Configure Your Grid

Arrange columns, set widths, apply filters, and adjust sorting to your preference.

Open Layout Options

Click the Layout button in the grid ribbon.

Save Layout

Enter a name for your layout and click Save. The layout is saved to your user profile.

Loading a Saved Layout

  1. Click the Layout button in the grid ribbon
  2. Select from your saved layouts
  3. Click Load to apply the layout
Create different layouts for different workflows, such as “Morning Routes” with route columns visible and “Station Transfers” with station columns.

Layouts preserve:
  • Column order and visibility
  • Column widths
  • Sort configurations
  • Filter settings
  • Column groupings

Column Customization

Renaming Columns

Customize column headers for clarity:
  1. Double-click on the column header you want to rename
  2. Enter the new name
  3. Press Enter to save
Column name changes are persisted and will be remembered when you return to the session.

Hiding/Showing Columns

  1. Right-click on any column header
  2. Select Column Visibility
  3. Check or uncheck columns to show/hide

Reordering Columns

Drag column headers to reorder them. Your arrangement is preserved in saved layouts.

Entering Quantities

Manual Entry

  1. Click on a cell in a route/station column
  2. Type the quantity to allocate
  3. Press Enter or Tab to move to the next cell

Quick Entry Tips

  • Use Tab to move right through cells
  • Use Enter to move down to the next row
  • Use Arrow keys for navigation
  • Type numbers directly to replace cell contents

Auto-Save

Quantities are automatically saved as you enter them. The system syncs changes every few seconds.

Station Selection

Setting Your Station

When you first access Load Lists:
  1. A station selection modal appears
  2. Choose your assigned station from the list
  3. Click Confirm
Your station determines:
  • Which sessions you can access
  • Default container configurations
  • Available routes/stations for allocation

Changing Stations

To switch stations:
  1. Click your station name in the header
  2. Select a new station from the modal
  3. The grid refreshes with the new station’s data

Cart Calculations

The system calculates cart totals based on container configurations:
  • Container Code: Defines the container type
  • Category: Item category for configuration matching
  • Site-specific configs: Override defaults per site
Cart totals help plan physical cart requirements for routes and stations.

Exporting Data

Export to Excel

  1. Click Export in the toolbar
  2. Choose the export format (Excel)
  3. Select columns to include
  4. Download the file

Export Options

  • Current View: Exports visible columns and filtered data
  • All Data: Exports complete dataset regardless of filters
  • Selected Rows: Exports only selected rows

Submitting Orders

When allocations are complete:
  1. Click Submit Orders in the toolbar
  2. Review the summary of allocations
  3. Confirm submission
  4. Orders are synced to NAV for processing
Submitted orders cannot be edited. Ensure all quantities are correct before submitting.

Best Practices

Save your preferred layout after configuring the grid. This saves time on future sessions.
  • Use Descriptive Session Names: Makes it easier to find sessions later
  • Save Layouts: Create layouts for common workflows
  • Review Before Submitting: Double-check totals before final submission
  • Monitor Availability: Watch the “Remaining Availability” column to avoid over-allocation
  • Rename Columns: Use meaningful names for route/station columns

Troubleshooting

Problem: Quantities entered don’t appear to save.Solution: Check your network connection. The system auto-saves every 3 seconds when connected. If issues persist, refresh the page and re-enter.
Problem: Cannot load a previously created session.Solution: Ensure you’re logged in with the correct station. Sessions are station-specific. Try selecting a different station if available.
Problem: Saved layout doesn’t apply correctly.Solution: Layouts are user-specific. Ensure you’re loading a layout you created. If columns have changed, the layout may need to be updated.
