Overview

The Locations page provides comprehensive management of delivery and inventory locations within the Restock module. Configure location details, add notes for operational context, and set location-specific replenishment rules that affect how items are ordered for each location.

Accessing Locations

Navigate to Restock > Data Management > Locations to access the locations management interface.

View Options

The Locations page offers two view modes to match your workflow:

Card View

The card view provides a detailed, tabbed interface with a searchable sidebar for easy navigation between locations. Best for:
  • Reviewing comprehensive location details
  • Managing location notes and documentation
  • Configuring location-specific rules
  • Exploring individual location configurations

Grid View

The grid view displays locations in a sortable, filterable table format. Best for:
  • Comparing multiple locations at once
  • Quick scanning of location status and details
  • Bulk data review and analysis
  • Exporting location data
Use the view toggle button in the ribbon to switch between card and grid views instantly. Your preference is saved automatically.

Card View Features

The left sidebar provides quick access to all locations:
  • Search bar - Filter locations by name, code, address, or region
  • Location list - Scrollable list of all configured locations
  • Selection highlight - Currently selected location is visually highlighted
Keyboard navigation:
  • Use ↑/↓ arrow keys to navigate through locations
  • Press Tab to move focus between sidebar and detail sections
  • Type to search and filter the location list

Detail Header

The header displays key location information and available actions:
  • Location name - Editable title for the location
  • Status indicator - Visual badge showing active/inactive status
  • Edit button - Opens location edit form
  • Delete button - Removes location (with confirmation dialog)
Deleting a location that is referenced in active load lists or has historical data may affect reporting. Consider marking locations as inactive instead of deleting them.

Tabs

The card view organizes location information into three focused tabs:

Details Tab

View and edit core location information:

Use case: Maintain accurate location information for routing, reporting, and communication.

Notes Tab

Add operational context and important information about the location:
  • Internal notes - Information for your team (not visible to customers)
  • Delivery instructions - Special requirements for deliveries
  • Restrictions - Time windows, access codes, parking information
  • Historical context - Changes, renovations, seasonal patterns
  • Formatting support - Use markdown for better organization
Examples of useful notes:
  • “Loading dock closes at 4 PM - schedule morning deliveries”
  • “Requires 24-hour delivery notice”
  • “Increased capacity after expansion in Q3 2024”
  • “Contact manager before first delivery of season”
Well-maintained notes can significantly improve operational efficiency by documenting tribal knowledge and special cases.

Rules Tab

Set location-specific replenishment rules that override item and system defaults:
  • Location-level minimum orders - Required minimum order value or quantity
  • Maximum order constraints - Cap on order size due to storage or receiving capacity
  • Delivery frequency rules - Weekly, bi-weekly, or custom schedules
  • Seasonal adjustments - Increased/decreased ordering during specific periods
  • Lead time overrides - Custom lead times for this location
  • Container constraints - Maximum carts or pallets per delivery
The rule hierarchy is: Location-level rules → Item-level rules → System defaults. Location rules have the highest priority and will override other settings.

Grid View Features

Column Customization

The grid view supports full customization:
  • Show/hide columns - Right-click column headers to toggle visibility
  • Reorder columns - Drag column headers to rearrange
  • Resize columns - Drag column borders to adjust width
  • Sort data - Click column headers for ascending/descending sort
  • Filter data - Use column filters to narrow results

Default Columns

The Locations grid includes these standard columns:
  • Location Code
  • Location Name
  • City/State
  • Region
  • Type
  • Status
  • Delivery Schedule
  • Last Delivery Date
  • Last Updated

Saving Grid Layouts

Save your customized grid configurations:
  1. Arrange columns to match your needs
  2. Click “Save Layout” in the ribbon
  3. Provide a descriptive name
  4. Reload anytime with “Load Layout”
Suggested layouts:
  • “Delivery Planning” - Focus on schedules and routes
  • “Location Audit” - Include all detail columns
  • “Quick Status” - Minimal columns for rapid review

Searching for Locations

Open Locations page

Navigate to Restock > Data Management > Locations

  • Card view: Use the sidebar search bar

Adding Location Notes

Find the location

Search or browse to locate the location

Click the “Notes” tab in card view

Enter operational information, delivery instructions, or other important context

Save

Click “Save” to store your notes
Date your notes (e.g., “2024-12-15: Loading dock renovations complete”) to provide historical context for future reference.

Configuring Location-Specific Rules

Navigate to location

Find and select the location in card view

Open Rules tab

Click the “Rules” tab

Set constraints

Configure minimum orders, maximum quantities, delivery frequency, or other location-specific rules

Verify impact

Consider how these rules will affect load list generation for this location

Save changes

Apply the rules to override system and item defaults for this location

Updating Location Details

Select location

Find the location you want to update

Click Edit

Click the “Edit” button in the detail header

Modify information

Update address, contact information, delivery schedule, or other details

Save

Click “Save” to apply changes, or “Cancel” to discard

Best Practices

Keep Contact Info Current

Regularly verify phone numbers and email addresses to ensure smooth communication during deliveries.

Document Special Cases

Use the Notes tab to capture anything that would help someone making their first delivery to this location.

Review Rules Periodically

Audit location-specific rules quarterly to ensure they still reflect actual operational needs.

Use Descriptive Codes

Location codes should be meaningful and follow a consistent naming convention across your organization.

Integration with Load Lists

Location configurations directly impact load list generation:
  • Delivery schedules → Determine which locations appear on specific load lists
  • Location rules → Control order quantities and constraints
  • Status → Filter active vs. inactive locations
  • Notes → Provide context for delivery drivers and warehouse staff
Understanding these connections helps you configure locations optimally for your replenishment workflow.

Troubleshooting

Location Not Appearing in Load Lists

Check:
  1. Status - Ensure location is marked as Active
  2. Delivery schedule - Verify schedule includes the target delivery date
  3. Rules - Check if minimum order rules are preventing inclusion
  4. Item assignments - Confirm items are available for this location

Can’t Edit Location

Possible causes:
  • Location is locked by another user currently editing
  • Insufficient user permissions for location management
  • Location is referenced in active or locked load lists
Solutions:
  1. Check with team members to see if they’re editing the location
  2. Verify your user role has location management permissions
  3. Wait for active load lists to be completed or unlocked

Notes Not Saving

Troubleshooting steps:
  1. Check for unsaved changes indicator
  2. Verify network connectivity
  3. Ensure notes don’t exceed character limits
  4. Try refreshing the page and re-entering notes

Advanced Use Cases

Multi-Location Route Planning

Use location rules and notes together for efficient route planning:
  1. Group by region - Use consistent region codes
  2. Document time windows - Note earliest/latest delivery times in Notes tab
  3. Set delivery frequency - Use Rules tab to enforce weekly/bi-weekly schedules
  4. Coordinate capacities - Set maximum order sizes based on receiving capacity

Seasonal Location Management

Handle seasonal location variations:
  1. Seasonal rules - Set date-range-specific rules in Rules tab
  2. Document changes - Note seasonal hours, capacity changes in Notes tab
  3. Status management - Mark seasonal locations inactive during off-season
  4. Historical tracking - Keep notes about seasonal patterns for future planning
